TERMS AND CONDITIONS

CONTRACTUAL AGREEMENT

A verbal or written confirmation of any assignment by either party is deemed to constitute a contractual agreement.   The date, time, venue/on-line platform, nature of assignment, preparation materials, contact numbers, dress code and any other relevant information must be provided at least 3 days before the assignment date.  Without this information I may arrive late, have to leave early or be unprepared for the assignment.    

 

A request for service or a quote for provision of service does not constitute a contract, unless it is followed by a confirmation email/text/purchase order number within 48 hours. Failing this, I will be able to accept any other offer of work that is for the same time/day.

 

I reserve the right to decline a booking if there has been any changes to the original request. 

 

CHARGES 

Fees are dependent on the nature and timing of the assignment.  However, in most circumstances whether face to face or online the fee charged is based on a minimum half day booking between 9am -1pm/1pm-5pm at £160 per session, or for a full day between 9.00am – 5.00pm at £320, bookings running over the middle of the day may be subject to the full day rate.  Additional hours running concurrently (including any rest times) may be negotiated at £45 per hour.

If the assignment takes place after normal working hours, weekends or public holidays, the charge of time and a half may be levied.

The daily charge is subject to renegotiation depending on the type of assignment, the time taken and as to whether there will be a co-worker available. 

Not-for-profit organisations are encouraged to contact me to discuss a rate. 

If an assignment necessitates staying away from home for one night or longer, an additional charge will be levied, which is negotiable.

 

CO-WORKING

In accordance with NRCPD & NUBSLI recommendations, a co-worker will be required for any assignment lasting for more than two hours. If the assignment is under the two hours, regular rest breaks will need to be considered after working for periods of up to a maximum of 30 minutes. In the event of the unavailability of a co-worker, a revised charge will be negotiated. It is recommended that in accordance with Health & Safety guidelines, an interpreter should not work longer that a maximum time of 6 hours per day and regular rest times are considered when working.

 

WORKING ENVIRONMENT

The Client and the Interpreter shall work together to ensure both can be seen and heard clearly as necessary.  This may require additional audio/visual equipment, reconfiguring room layouts, improved lighting, minimisation of back ground disturbances and so on. 

 

No recordings shall be made with out the express permission of the interpreter in writing.  Material required for broadcast or publication will require a separate negotiation of fees and a media release form. Please contact me for a media release form.

 

If I deem the working environment has become unsafe, for whatever reason, including but not limited to violence, unexpected disclosure of traumatic events, harassment/bullying or safeguarding issues I reserve to right to intervene and / or remove myself with immediate effect. Incidents will be reported where necessary.

CANCELLATION

Either party in advance can make a cancellation to an assignment. In accordance with the NUBSLI  recommendations, in the event of a cancellation, the following criteria are enforced:-

If notice is 8-14 calendar days from the assignment date:-                        50% Charge

If notice is 7 calendar days or less from the assignment date:-      Full Charge

 

Please note I am not responsible should I be delayed or unable to attend the assignment due to unforeseen circumstances, e.g. sudden illness/accident/transport cancellations or delays /internet failure. In such instances I will make every effort to contact yourselves/the client to advise you/them of the situation, hence a contact telephone number is essential. In the case of illness, every possible means will be taken to provide a replacement interpreter of equal skill and ability to undertake the assignment.

 

LIABILITY

I endeavour to uphold the ethics of the profession and work to the best of my ability in each situation.  There is no guarantee to the absolute accuracy of the interpretation.  Consequential liabilities and damages are expressly excluded.  Please discuss with me at the time of booking if there are specific accuracy requirements.    

 

TRAVEL EXPENSES

Travel expenses will be charged. In every possible instance, the most economical mode of transport will be used. Should private transport be used, this will be chargeable at the maximum  rate of £0.85 per mile plus parking. (AA Motoring Index research, June 2011)

 

OVERNIGHT ACCOMMODATION

If an assignment entails staying overnight(s), the cost of overnight accommodation and breakfast will be charged, unless provided. In general the most economical accommodation will be sought.

 

SUBSISTENCE

A charge for meals may be made should an assignment last longer than four hours, unless a meal is provided free of charge

PAYMENT

An invoice will be submitted for payment, usually at the end of the month in which the assignment/s occurred. Please check this invoice for accuracy and advise me of any changes required within 3 working days.  Any changes required after this will incur a surcharge of £60. 

 

Please ensure payment is made within 30 days from date of invoice.  Should payment not be made within this time, a supplementary surcharge of £60 plus 10% will be added onto the initial cost of the original invoice each month.  If it is still outstanding after 3 months  further action will be taken in accordance with the Late Payment of Commercial Debts (Interest) Act 1998 as amended and supplemented to incorporate the features of European Directive 2003/35/EC.

PROFESSIONAL DEVELOPMENT

Evidence collection may be required for professional development. This may take the form of shadowing, observing, live or visual evidence collection of an interpreted session. Permission will be sought from all parties before evidence collection.  All material collected will be treated confidentially and used for professional assessment and development only. 

 

GDPR

The collection of personal data will be kept to the minimum.  It will only be used for me to be able to complete the assignment and process the invoice.  Personal data will not be shared, unless required under law, or sold on to a third party. 

 

FEEDBACK

I appreciate feedback to be able to improve my skills and service.  Please be constructive in any feedback and if you have a particular concern let me know at the time so I can have the opportunity to rectify the matter.  NRCPD has a complaints system should you require it.
